BOOKING POLICY
• All ages are welcome at F1 Arcade, however, guests must be at least 7 years old to race.
• You must be able to show either a valid UK driving license, or passport if asked. Failure to do so will result in you being refused entry and you will not be refunded.
• We ask that all guests arrive at least 15 minutes before the start-time of your booking. For late arrivals we are unable to change the booking start time, and refunds will not be available.
• Your simulator(s) are allocated at the time of booking - to guarantee being located with your group and part of the same game, all drivers must be booked at the same time on the same booking.
• We want to ensure that F1 Arcade has availability for all and for this reason we do not allow multiple bookings in the same period. Guests with multiple bookings may be cancelled with refund for all additional bookings. We recommend contacting our team to discuss your groups requirements.
• The number of simulators assigned and duration Is based on your group size.
• During our peak times we require a minimum spend or pre-order to ensure all of our guests during this time have an optimal experience.
• As part of the activity and at times throughout the venue, there may be flashing lights, images and videos, and may not be suitable for guests with epilepsy or photosensitivity.
• The racing simulators are designed to simulate a motorsport driving experience using professional grade components, including a professional direct drive force feedback system and haptic technology providing full motion movement of the simulator body. Due to the haptic motion system, the simulator is not suitable for guests who are pregnant.
• Any elderly guests or guests heart conditions, high blood pressure or aneurysms, recent surgery or illness, neck, back or bone ailments should consult their physicians before using the simulator. If you have been diagnosed with or think you may suffer from epilepsy, please refrain from using the simulators. As part of the activity and at times throughout the venue, there may be flashing lights, images and videos, and may not be suitable for guests with epilepsy or photosensitivity.
• We do not permit any external food or alcohol in our venue, unless previously agreed or these items will be confiscated.
• For any guests bringing in food as agreed previously, on arrival you must sign a food indemnity on arrival.
• We ask that all our guests enjoy and act responsibly, we have a zero-tolerance policy for anything that would interfere with the experience for our team or other guests, and we reserve the right to refuse entry or remove guests from the venue without refund.
• Please note CCTV is in operation in our venue for the safety of our team and guests.
• You have read and agreed to our booking policies.
The game is suitable for children as we have five different difficulty levels suitable for all players.
• Our Birmingham venue welcomes under 18s into the venue until 8PM Monday-Sunday however all under 18s must be accompanied by an adult of at least 21 years. We reserve the right to change our minimum age policy for special events. Management also reserve the right to refuse entry or remove guests from the venue at any time.
The game is suitable for children as we have five different difficulty levels suitable for all players.
• Our London venue welcomes under 18s into the venue until 6PM Monday-Sunday however all under 18s must be accompanied by an adult of at least 21 years. We reserve the right to change our minimum age policy for special events. Management also reserve the right to refuse entry or remove guests from the venue at any time.
• All drivers under 14 year old will be accompanied by an adult of at least 21 years, with one adult per four juniors.
• You have entered and checked all personal and booking details are correct.
• You agree to comply with all venue regulations. F1 Arcade Booking Policies
We may sometimes have photography and video shoots taking place in our venues. By making a booking with F1 Arcade you agree that any images and video taken of you and your group at our venues may be used for promotional activities by F1 Arcade and our partners.
If you do not wish F1 Arcade to use any images and/or videos of you or your group, please let a member of staff know upon arrival or email support@f1arcade.com.
If you need to cancel your booking and it is more than 48 hours before your arrival, we will transfer the money paid to a new date or provide a refund on request. Any bookings that are moved are non-refundable and non-amendable.
• If a cancellation is made within 48 hours of the booking date, all monies paid for your race session will be forfeited. Any cancellations or reductions within 48 hours are non-refundable and non-transferable.
• If the number of players in your group has dropped from what was originally booked and paid for, within 48 hours of your booking date, your group will still receive the number of races originally booked. No refunds or transfers are available within 48 hours of your booking.
• Full payment and pre-orders need to be confirmed at least seven days prior to the booking.
• Any cancellations within 48 hours are non-refundable and non-transferable.
• Any reductions within 48 hours are non-refundable and non-transferable. Credit will not be offered, however your package items for the group size booked can be served.
• We cannot guarantee availability of all package items for pre-orders received within seven days of your booking.
• Please ensure all allergen and dietary requirements are made known at the time of booking.
• Gluten and other allergens are used in our kitchen and traces may be present in all dishes.
• VAT is added at the current rate and a 12.5% discretionary service charge will be added to your bill.
To book a Private Room, we require full payment in advance. This payment is made up of a area/sim hire fee which is non-refundable and non-transferable, and a minimum spend relative to the size of the space.
• The size of the area and number of racing simulators assigned will be based on your group size and/or budget.
• A minimum spend (+ discretionary 15% service charge) is required. A minimum spend can be utilised with pre-ordered packages, food and beverage items, or bar tabs.
• The minimum spend is fixed and irrespective of group size.
• We require a finalised pre-order two weeks prior to your booking if we do not receive a pre-order by this time we reserve the right to select a suitable for your group size with no amendments.
• Any remaining spend outside pre-orders and packages may be redeemed as a bar tab, this must be used during the duration of your booking and is non-transferable and non-refundable after your booking has finished.
• In the event of industrial action, we the client, agree to notify F1 Arcade within 48 hours of the strike or travel advisory warning being announced in order to be eligible for the minimum spend to be moved to an alternative date whilst forfeiting the sim hire or hire fee as per F1 Arcade’s booking policy.
• For a cancellation, reduction or amendment of a private room or semi-private area more than 28 days before your booking, we will offer to transfer the full minimum spend (excluding area/sim hire which is non-transferable and non-refundable) to a new date. Please note, minimum spends are subject to change based on availability.
• For a cancellation, reduction or amendment of a private room within 28 days of your booking, the full balance of your booking is non-refundable, non-transferable. If final balance have not been paid, the booker will be liable to pay this as contracted.
• Allergens are used in our kitchen and traces may be present in all dishes, please let us know of any dietary requirements in advance.
• VAT is at the current rate and a 15% discretionary service charge will be added to your bill.
To book a Semi-Private Area, we require full payment in advance. This payment is made up of an area/sim hire fee which is non-refundable and non-transferable, and a minimum spend relative to the size of the space.
• The size of the area and number of racing simulators assigned will be based on your group size and/or budget.
• A minimum spend (+ discretionary 12.5% service charge) is required. A minimum spend can be utilised with pre-ordered packages, food and beverage items, or bar tabs.
• The minimum spend is fixed and irrespective of group size.
• We require a finalised pre-order two weeks prior to your booking if we do not receive a pre-order by this time we reserve the right to select a suitable for your group size with no amendments.

TEAM RACING, PRIVATE ROOM & SEMI-PRIVATE AREAS Festive Period
• To book a Private Room or Semi-Private Area, we require full payment in advance. This payment is made up of a area/sim hire fee which is non-refundable and non-transferable, and a minimum spend relative to the size of the space.
• The size of the area and number of racing simulators assigned will be based on your group size and/or budget.
• A minimum spend (+discretionary 12.5% to 15% service charge) is required. A minimum spend can be utilised with pre-ordered packages, food and beverage items, or bar tabs.
• The minimum spend is fixed and irrespective of group size.
• For any team racing bookings we require 28 days notice for a full refund, this includes number changes.
• We require all groups of 4+ to purchase a festive package between Monday – Friday from the 24th November – 30th December.
• We require a finalised pre-order two weeks prior to your booking if we do not receive a pre-order by this time we reserve the right to select a suitable for your group size with no amendments.
• Any remaining spend outside pre-orders and packages may be redeemed as a bar tab, this must be used during the duration of your booking and is non-transferable and non-refundable after your booking has finished.

The hire of F1 Arcade ‘the venue’ will only be agreed upon receipt of any deposit requested as well as a signed copy of the Contract Agreement.
I / we agree to the hire of the venue subject to all requirements as listed in your booking contract (any change to these requirements must be applied for in writing at least 72 hours before the event date and approved by venue management).
I / we agree to all prices quoted and understand that I / we must make full payment for all additional services requested on the day of the event outside of the contracted pre-order, including bar and food receipts, at the end of the event (unless otherwise agreed in writing).
I / we agree that the use of and hire of the venue can be withdrawn immediately and full payment to be made to the venue for all costs accrued, for any improper behaviour (this includes but is not restricted to: abuse of the team, damage to venue furniture and fittings).
I/ we agree that in accordance with the aims of the Licensing Act 2003, the venue will not be held financially or otherwise liable for the immediate termination of this contract /event if in the opinion of our management there is any risk of / or significant breach of our premises license and objectives in terms of, but not restricted to, public disorder / nuisance.
I / we agree to indemnify the venue against any damage caused by us, any agent or company subcontracted by us and or their equipment / belongings.
I / we agree to accept responsibility for any agent, company and their employees subcontracted by us to be adequately trained and insured in compliance with any relevant statutory regulations.
I / we agree that decorative, staging, sound and lighting items supplied / installed by us (other than say posters) including but not restricted to screens and curtains must be fire retardant and have appropriate safety fixings and be compliant to all statutory regulations. The venue accepts no responsibility for any third party costs unless otherwise agreed in writing.
I/ we accept own liability for insurance for any such eventuality and for our own- or third-party equipment, staff or claims arising.
I / we agree that permission for all forms of audio and visual broadcast (public address, music or otherwise) must be applied for in advance. The venue reserves the right to control and/or veto over permitted volume, content, artists of all such broadcast(s). Both venue and Client shall not be held liable to the other for failure to perform its obligations under this Agreement and/or any Contract if that failure is caused by events beyond its reasonable control (“force majeure”). These events are fire, flood, war, civil war, armed conflict or terrorist attack, nuclear, chemical or biological contamination. The other party shall be relieved of any obligation to make payment in respect of the affected Services.
I / we take full responsibility for all flyers / posters / advertisements and any permissions required for their display, dispersal and removal (if required), both within and outside of the premises (this also includes decorative and display items)
I / we understand that the deposit paid is non-refundable, even if the event is cancelled, with a further nonrefundable payment of the remaining balance to be paid at least 28 days prior to the event day.
For events booked within 28 days of event date, a full balance payment must be made in order to confirm the event.
Cancellations: The venue reserves the right to retain 100% of the fees if notified of a cancellation less than 28 days prior to the event. Payments will be demanded, if not already settled, as set out in the Deposit Schedule section of this contract. F1 Arcade ‘The Venue’ entitles third-party party booking agents to an agreed commission amount in writing, prior to the event. The agreed commission amount is paid within 30 days upon receipt of a valid commission invoice. Our commission payment is calculated on the agreed % of the net prebooked amount and does not include additional event spend on the day of the booking.
I / We understand that a pre-order is required to complete the function sheet prior to the event. If we do not provide one seven days prior to the event, a function sheet will be created on our behalf up to the value of the minimum spend based on the venue’s suggestion. Any changes will be at the discretion of the venue.
I / We understand that the venue, including all spaces, is an over 18 venue and ID will be required for all guests.
A minimum spend (+ discretionary 15% service charge) is required to secure your booking. A minimum spend can be utilised with pre-ordered packages, food and beverage items, or bar tabs.
